Business communication skills are a very vast subject that cannot be covered in a hurry. No business can really survive without this basic skill. This is why most of the big names in the market invest billion every year to have their personnel trained in basic and advanced communication skills.
Feedback – a crucial segment in the communication skills area
Feedback is described by many as the communication that takes place between two people/ organizations/ businesses regarding the impact their behavior has on their customers, organization, team, and public.
You need to have exceptionally good communication skills in order to be able to give a feedback that prompts the action that you would wish for. There should the right combination of criticism and information sharing. The main focus of an effective should always be on the behavior and not the person.
This particular division requires excellent communication skills & presentation skills because if it is not done well, the feedback will act as a de-motivating factor and lessens the productivity of the staff/ team/ organization it is meant for.
A good speaker is more often described as a good listener. In the same way good communication skills involve the ability of giving and receiving feedback. Let us look into what makes a feedback effective and result oriented.
- If you want your feedback to really have impact and provoke action, make it specific. List the points you want to give feedback upon clearly and concisely. Terms like “satisfactory”, “good” are “abysmal” are ambiguous and will not really create an impact
- Your reaction expressed in the feedback should focus on the behavior and not a person. When there is a personal attack the feedback gets diluted into personal issues
- Always suggest ways for improvement and express what you would want to see happening. Do not use the feedback as a grievance airing avenue, but as a means to improve a service/ product
- If you feel that you have some feedback that may point out some major flaw or encourage a certain aspect, request permission to give a feedback.
- The best feedback is actually sharing of information and comments (observations). Do not be too fast in advising unless it is indicated to do so.
- The best feedback will consist of a brief description of what has been done and how. Leave the ‘why’ out of it.
